Messrs. Ian Shang Kuan is looking for a reliable, organised and proactive Executive Assistant to support the Managing Partner in daily professional, administrative and operational matters.
The successful candidate will work closely with the Managing Partner and assist in managing schedules, communications, meetings, follow-ups, documents and internal coordination of the Firm.
Key responsibilities include
Managing the Managing Partner’s calendar, appointments and meetings;
Handling calls, emails, messages and correspondence professionally;
Taking accurate meeting notes and following up on action items;
Assisting with daily time management, task tracking and deadline monitoring;
Drafting and preparing emails, letters, notes and other correspondence;
Coordinating meetings, events, engagements and travel arrangements;
Liaising with clients, staff members and external parties when required;
Assisting the Managing Partner in supervising and coordinating administrative and operational matters of the Firm; and
Attending to ad hoc tasks and errands as reasonably required.
REQUIREMENTS
Candidates should be responsible, discreet, well-organised and able to work in a fast-paced professional environment.
The candidate must have good written and spoken communication skills in both English and Bahasa Malaysia, be able to work independently and as part of a team, and be willing to learn and adapt quickly.
Prior experience as a Personal Assistant, Executive Assistant, Secretary, Office Administrator or Legal Secretary will be an advantage. However, candidates without direct experience but with the right attitude, discipline and willingness to learn are encouraged to apply.
Candidates who are able to start work immediately or within short notice will be given priority.
The role will be based in Kuala Lumpur, either at our upcoming Kuala Lumpur branch or at our client’s office in Kuala Lumpur, depending on operational requirements.
